This Privacy Policy explains how TenderCheck ("we", "us") handles information when you use our website and services. It is written with reference to the Protection of Personal Information Act, 2013 (POPIA) and describes your rights under that Act. It is not a certification of compliance.
1. Information we process
- Uploaded files: the tender pack and supporting documents you upload for a scan — for example SBD forms, CSD records, declarations, certificates and other tender-specific documents.
- Extracted data: structured fields our extraction layer derives from your files (for example company name, registration number, form selections, signature/date evidence and page references).
- Account and profile data: your email, password hash, business profile (industry, province, CIDB grading, B-BBEE level) and preferences.
- Payment data: order records and payment references. Card details are handled by our payment processor.
- Usage data: logs necessary to operate and secure the service.
2. Purposes
- To produce compliance reports on the documents you upload.
- To match your profile against publicly listed tenders.
- To operate your account, process payments and provide support.
- To secure the service and comply with legal obligations.
3. Processors and integrations
We use third-party processors to run the service, including cloud hosting, an AI/OCR provider for evidence extraction, an email delivery provider, and a payment processor. Each processor only receives the data it needs for its function. Some processors may process data outside South Africa.
4. Retention
Uploaded files are processed temporarily to generate your report and are retained only for as long as needed to produce and deliver that report.
Extracted data derived from your files, together with your account, profile and order records, is retained for as long as your account is active and thereafter as required to comply with law or resolve disputes. You may request deletion at any time.
5. Safeguards
We apply reasonable technical and organisational safeguards, including encrypted HTTPS connections where supported. These are reasonable measures rather than a guarantee — no online service can be made perfectly secure.
6. Your POPIA rights
- Access the personal information we hold about you.
- Correct or update inaccurate information.
- Request deletion of information we no longer need to hold.
- Object to processing in certain circumstances.
- Lodge a complaint with the Information Regulator (South Africa).
7. Cookies
We use strictly necessary cookies for authentication and site operation, and may use limited analytics cookies to understand aggregate usage.
